Return Policy

Because GaijinMall connects individual buyers and sellers, return and refund conditions may vary by seller. This policy explains how returns and disputes are handled on the platform.


Overview

GaijinMall is a marketplace connecting buyers and sellers. Returns depend primarily on the seller's return terms, except where this policy or applicable law requires otherwise.

1. Buyer’s Responsibility

  • Review item description, photos, condition, and seller terms before purchasing.
  • Contact the seller via GaijinMall messaging first to request a return; both parties must agree before returning an item.
  • Buyers are generally responsible for return shipping costs unless the seller agrees otherwise.

2. Seller’s Responsibility

  • Sellers must accurately describe items and ship as promised.
  • If items are not as described, defective, or damaged in transit, the seller should work with the buyer to resolve the issue (refund, exchange, repair).
  • Sellers may set return conditions (time limits or restocking fees) but must comply with Japanese law.

3. When Returns Are Allowed

Returns may be accepted when:

  • The wrong item was sent.
  • The item arrived damaged or defective.
  • The item materially differs from the listing description.

4. When Returns Are Not Accepted

Returns are generally not accepted for:

  • Buyer’s change of mind after purchase.
  • Buyer’s failure to read description or confirm details.
  • Used, perishable, or personalized items (unless defective).
  • Digital goods or services once delivered.
Non-Returnable Items

Perishables, digital goods, personalized items, and items marked “final sale” cannot be returned unless defective or misdescribed. Illegal or prohibited goods may be canceled immediately with no refund.

5. GaijinMall’s Role

GaijinMall is the platform provider and does not take ownership of items. We do not guarantee product quality or manage shipping. GaijinMall may mediate disputes but final decisions rest with the seller unless otherwise required by law.

6. Dispute & Resolution

  1. Buyers should contact sellers first after receiving an item to raise return/refund issues.
  2. Sellers must respond to complaints promptly.
  3. If no solution is reached within a reasonable time, either party can request GaijinMall mediation.
  4. GaijinMall will review evidence (photos, receipts, messages) and issue a platform decision. Platform decisions are final within GaijinMall; parties may still seek legal remedies externally.

7. Refunds

Refunds are processed after the seller confirms the return or agrees to refund without return. Timing and method depend on the original payment. GaijinMall may deduct transaction fees and is not responsible for bank or payment provider delays.

8. Seller Return Policy Restrictions

Sellers may define return conditions, but they cannot categorically refuse all returns. All sellers must accept returns when items are damaged during delivery, defective, or significantly different from the listing. Any seller policy that conflicts with this requirement is invalid on GaijinMall.

How to Start a Return
  1. Open the order in My orders and click "Contact seller".
  2. Explain the issue and attach evidence (photos, video, tracking).
  3. If the seller agrees, follow the agreed return instructions and keep tracking information.
  4. If you cannot reach agreement, open a case and request GaijinMall mediation via Help & Support.
